Configuring Outlook for Off-Campus Use

The most convenient method for accessing your Roosevelt faculty/staff email from off-campus locations is to use the web interface at http://franklin.roosevelt.edu. This method requries no special computer setup and can be used on virtually any networked computer.

For those who prefer to use a desktop-based email client for checking mail from off-campus locations, Roosevelt supports the POP3 email protocol. The instructions below explain how to set up Outlook as a POP3 client, but other clients such as Thunderbird, Eudora, or Macintosh Mail can be used instead -- consult the documentation for those applications for setup details. Please note that different versions of Outlook have slightly different configuration options. These instructions apply to Outlook 2003.

Important: This setup method should only be used on machines used to access RU email from off-campus locations. All faculty and staff desktop machines located inside the Roosevelt network should be set up as Outlook Exchange clients. Contact the help desk for assistance.

1. Click Tools | E-mail Accounts

2. Click View or change existing e-mail accounts.

3. A list of your accounts will appear. Click Add.

4. Server type: Choose POP3 and click Next.

5. Internet E-mail Settings: Fill out this form like below.

a. Your Name: Enter your first and last name.
b. E-mail Address: Your complete Roosevelt e-mail address.
c. Incoming mail server: franklin.roosevelt.edu
d. Outgoing mail server: This will be the address of your ISP's mail server. If you don't know the name of the server, please contact your Internet Service Provider (Comcast, MSN, AOL, etc.).
e. User name: Enter the first part of your RU e-mail address.
f. Password: Enter your RU E-mail address password.

6. Click Test Account Settings. Outlook will attempt to connect to the RU e-mail server. It will also attempt to send a test e-mail message using the Outgoing e-mail server address. Review the results of this test and change any settings indicated.

7. More Settings. Clicking on this button gives you the chance to set more options, such as leaving a copy of every message on the server.

8. Click Next and Finish.
