General Policies and Procedures

All requests for equipment and service must be in writing using ETRC Request Forms (see list at left). Please submit a separate form for each class you teach, or each event for which you're requesting service. If you're having trouble submitting the online form, feel free to give us a call, or drop by the ETRC office at your location.

Please read the following before you submit your request:

  • Scheduling of trained operators who deliver, set-up and, if needed, operate equipment must be done at least five working days in advance. Creative or emergency requests are welcome, depending on staff and equipment availability. We will often have equipment available on one or two days notice, but you may have to pick up and return the equipment yourself.

  • All classroom related requests must be made by or authorized by the instructor. The instructor is responsible for equipment and materials until they are returned to the Educational Technology Resource Center. If equipment is picked up by a student, the deposit of their valid I.D. card is required. The I.D. is returned only upon return of equipment. The user is responsible for damage.

  • Please note that many Roosevelt classrooms have been updated with built-in data projection and media playback equipment. A number of these rooms are configured without computers, but laptops can easily be connected to the built-in equipment for full network and projection capabilities. No equipment reservation is required for instructors bringing in their own laptops. For details see the classroom computer policy.

  • Videos and films in our collection do not circulate and are exclusively for classroom use by Roosevelt faculty. Faculty may check out material up to two weeks for review. Films and videos may be requested along with equipment requests. An additional day is usually required to ship materials from the Chicago Campus to Schaumburg. Requests for materials not in our collection take much longer to access and should be requested several weeks in advance. For rental of non-Roosevelt materials or to purchase new materials, any costs over $40 per title must be covered by an IRT from your department chair or dean. Videoconferencing requests are governed by Roosevelt University Videoconferencing Policies.

  • Support of non-classroom internal events, such as meetings, conferences, information sessions, institute activities, parties, etc.) usually involves chargebacks for personnel and materials. Events held by outside organizations at Roosevelt are charged for equipment rental as well as personnel and materials. For information see Chargeback Policies and Procedures.

  • Requests for the regular assignment of computer classrooms are evaluated and processed by the Office of the Registrar well in advance of the semester. Instructors should submit those requests through their department chairs or deans. Special-use requests for computer classrooms during the semester will be considered on a space-available basis. Use the computer classroom request form for this purpose.

  • All equipment managed by the ETRC MUST remain on campus. All deviations from this policy require the review and approval of the ETRC Director.

  • It is the policy of the Educational Technology Resource Center to carefully and strictly observe all U.S. laws relating to intellectual property and copyright, as well as all provisions of Roosevelt's Computer and Network Usage Policy (CNUP).
